TERMS AND CONDITIONS

1 – REGISTRATION

a. Registrations and payments

Registration for our events must always take place via the website (www.trackdays.be). After your registration you will receive a registration confirmation.

Your reservation is only definitive after receipt of your payment.
Once we have processed your payment you will receive a payment confirmation.

Payment always takes place while booking via the website (www.trackdays.be) and is handled by the online payment platform MOLLIE.

In the absence of payment your registration will be cancelled and we will send you a message that your registration has been cancelled.

Except for an error in the e-mail address or network problem, a participant who has not received a payment confirmation is not registered for the event.

In summary: Reservation and payment = registration confirmed.

b. Groups

The groups are classified according to the preferences you specified during registration, your experience level and your lap times if they are known.

All participants will be riding with MyLaps transponders that record their lap times. After the lunch break, the group classification is adjusted in function of the recorded lap times. Each participant must accept this group classification or he/she will not be admitted to the track.

c. Cancellation and no- show

No refund is possible after registration and payment.
In case of cancellation up to 4 weeks before the event, the participant will receive a voucher for the registration amount, less 25 € administrative costs. In case of cancellation up to 3 weeks before the event, the participant will receive a voucher worth 50% of the registration amount. In case of cancellation up to 2 weeks before the event, the participant will receive a voucher worth 35% of the registration amount. In case of cancellation up to 1 week before the event, the participant will receive a voucher worth 20% of the registration amount. In case of cancellation up to 3 days before the event, the participant will receive a voucher worth 10% of the registration amount. No cancellations will be accepted less than 3 days before the start of an event. In case of a change of registration (other pilot) an administrative fee of 10€ will be charged.

Any participant who does not sign in before 9am on the day of the event will see his registration cancelled. In this case the registration fee is not refundable.

d. Billing

After processing your payment you will automatically receive an invoice for the event you booked. The invoicing details can be specified in your TRACKDAYS account under the tab INVOICES. If you require an invoice in the name of a company or association, you must create a TRACKDAYS account and enter this information before booking. If you book without creating an account (as a GUEST) an invoice will be created in your personal name.

Adjusting the invoicing details after the invoice has been created is not possible. If exceptionally this would be necessary we will need to charge a 10€ administrative fee.


2 – RULES – SECURITY

a. Noise restrictions

Depending on the circuit, noise restrictions may or may not apply. The participants agree to respect these noise restrictions. If these noise restrictions are exceeded, the participant can be denied access to the track. In this case no refund of the registration fee can be requested.

b. Safety

Admission to the paddock is reserved for participants of the event. The speed is limited to 10 km/h.

In the pit lane the speed is limited to 30 km/h. It is forbidden to smoke. Children under the age of 15 are not allowed, except if accompanied by an adult. Animals are forbidden in the paddock and the pit lane at all times.

The organisation cannot be held responsible for any accidents involving participants, supervisors or spectators. The organisation is also not liable in case of theft or possible quarrels between participants or spectators that take place on the circuit, pit lane, paddock, parking, ...

The organisation can at any time exclude a participant if he/she does not respect the safety rules explained during the mandatory briefing.

It is forbidden to bring or use drugs or alcohol at the event. Failure to follow this prohibition leads to exclusion.

The organizer reserves the right to stop the actions of a participant at any time or to exclude the participant for safety reasons.

Only the photographers appointed by TRACKDAYS.be have the permission to go around the track.

Spectators are forbidden along the track, the only allowed zones for spectators are the paddock and the indicated spectator zones around the track. Spectators are not allowed to climb over the fences to get closer to track.

c. Clothing and equipment

Each participant must wear a CE approved full-face helmet, motorcycle boots and gloves, a back protector and a leather motorcycle suit (Gore-Tex is only allowed in the Rookies group). In case of a 2-piece motorcycle suit both halves must be zipped together. No part of the body except for the neck may be exposed when riding on the track.

A Gore-Tex suit is not allowed for participation in the events on the circuit CAROLE. Only a full leather combination is allowed.

d. General guidelines

TRACKDAYS .be events are a friendly gathering of motorcyclists on the circuit. The organization is in the hands of TRACKDAYS.be BVBA. Every participant and visitor agrees to strictly comply with all guidelines of the organization.

Only registered participants may enter the track. Lending your motorcycle to non-registered pilots is strictly forbidden.

Any form of competition is forbidden. All pilots must ride in this spirit and respect each other. Participants who are deemed dangerous by the organization will be excluded from further participation.

3 - DAMAGES

Any damage caused by a participant or persons accompanying him on and around the circuit - the fence, infrastructure, the track itself or accessories around the circuit - is at the expense of the participant.

The dumping or leaving of garbage and tires is prohibited. Only small amounts of residual waste can be deposed in the garbage bins. Violators will be held responsible for the costs.

A damaged or lost MYLAPS transponder will be invoiced to the participant at the price of 550€ each.

4 - FORCE MAJEURE

If due to force majeure (bad weather, incident on the track, ...) one, more, or all of the sessions are cancelled, the participant agrees to not demand a compensation or reimbursement from the organization.

5 – PARTICIPANT CHARTER

I commit myself to respond to all signals, signs and flags that are shown to me. Failure to comply with this may lead to exclusion.

I commit to follow the mandatory briefing at the beginning of the day. If I could not be present at the briefing, I have to follow a briefing with an instructor before I can enter the track. As a consequence it is possible that this causes me to miss one or more sessions.

I accept the risks associated with riding a motorcycle on track. I will not take any action against the organizer of the event if I am involved in an accident due to my own fault or the fault of someone else. (photographer, pilot, commissioner, or other).

I declare that I am physically and mentally fit to ride a motorcycle on track.

I declare that my motorcycle is in a good technical condition.

I declare that all statements I made on the registration forms are correct.

I declare to have registered with full knowledge of the possible risks.

I declare to sign the waiver at the latest on the day of the event and before the start of the event.

I release the organizer from any civil or criminal liability in the event of personal injury or property damage during the event. In case of dispute, only the court of Ghent has jurisdiction.
